- Perform a wide range of professional administrative services and ensure a highly responsible and confidential support to the CEO. Excellent administration, presentation, coordination skills.

- Timely reporting to concerned parties on all operational risk, fraud, AML and related issues.

- Monitor and manage CEO appointments, calendar, upcoming commitments and travel arrangements to ensure the CEO's schedule is effectively organized.
- Arrange CEO's travel itineraries, flights, hotel accommodation, car rental and other travel needs.
- Organize workshops and external meetings, prepare and distribute agendas and files.
- Prepare travel and local expense reports.
- Prepare medical claims for the CEO and his family, follow up on proper reimbursements. Respond to enquiries for and on behalf of the CEO appropriately and in a timely manner.
- Organize and maintain executive correspondence, follow up on pending matters and work on closures as appropriate.
- Maintain accurate and clear electronic and paper filing systems that are easily accessible.
- Safeguard an electronic filing of Bank's memorandums, instructions & directives.
- Serve as a liaison with internal staff at all levels.
- Maintain and monitor CEO's official documents/visas/credit cards and IDs, etc. Ensure timely renewals of the same.
- Receive, review and dispatch the Central Bank Notices to Compliance and relevant destinations.
- Prepare letters to the Central Bank, follow up with the Central Bank for necessary feedback.
- Translate Arabic/English letters and notices received from the Central Bank, ministries, government entities, customer complaints, etc.
- Maintain a professional data base of Directors, HNW clients and industry contacts.
- Provide professional service and hospitality to Directors and VIP clients while visiting the bank or via electronic communication, as well as when representing the bank externally.
- Develop and maintain effective network with internal stakeholders and industry colleagues.
- Provide support to CEO, ensuring all documentation is presented professionally.
- Assist CEO in various matters such as visa application preparation and submittal, hotel, venues, forums and travel bookings.
- Ensure supervision of direct reporting staff in accordance with organizational compliance.
- Oversee requirements of stationery and other items for the executive floors.
- Primary liaison with IT regarding changes in contact details and technical issues related to PCs/Printers/Scanners in the executive floors.
- Ensure sound operational knowledge of legislative, regulatory and code of conduct requirements are met at all business levels.
- Manco Meetings/events actions and reports.
- Central Bank events and quarterly meetings Banks Federation meetings and follow up on completion and submission of case studies/new projects/policies, etc.
- UAE Banks Federation new Committees and bank Representatives coordination.
- Review of new NDA's, amendment as per CEO/CFO instructions, communicating and follow up with second party on finalizing related documents and monitoring future correspondence.
- Efficient communication with offices of the Local and overseas Directors on different business matters, meetings and updates.
- Draft invitations to Directors, customers, staff or to other banks as required, confirm RSVPs and prepare final attendance list, share as appropriate.
- Ensure compliance through a sound knowledge of policies, procedures, products, services and systems.
- Assistance to other Departments: Real Estate: review of letters and printing for CEO's sign off, forward and follow up with third parties, such as Central Bank, on responses or approvals as required.
- Liaising with recruitment agencies and/or candidates for confidential interviews. Inform the candidate, confirm meetings, venues, travels, hotels and transport if required.
- Maintain a confidential database of potential and interviewed candidates.
- Draft letters to the Central Bank informing of newly joined direct reports to the CEO and other managers and follow up on approvals.
- Ensure the offices of new executives are properly furnished and equipped with stationery and other essential items.
- Draft letters and reports when required and as and when requested by Executives.
- Assist the Company Secretariat Department on preparing for meetings of the Board of Directors and sub-committees and the Annual General Assembly meetings if required.
- Meeting arrangements: MANCOM, ALICO, GMCC and WBT, including: Gathering documents, preparing presentations and meeting files in coordination with the CEO, Chief Officers and the concerned departments.
- Maintain accurate electronic meeting files.
- Oversee requirements of the executives meeting rooms.
- Bachelors Degree
- 5 years in secretarial capacity
